This Privacy Policy explains how Reply (operated by WickScout Finance LLC) (“Reply,” “we,” “us”) collects, uses, and shares information when you use our AI voice receptionist and scheduling service for home-services businesses (the “Service”). It covers both the businesses that use Reply (“Customers”) and the people who call or text a phone number answered by Reply (“Callers”).
1. Information we collect
From Callers
- Name, phone number, and service address you provide on a call;
- The reason for your call (e.g., the service problem) and appointment details;
- Audio recordings and written transcripts of calls;
- Text messages you exchange with the Service.
From Customers (account holders)
- Name, email, business name, business phone, and service area;
- Billing and payment information (processed by our payment provider);
- Configuration you enter into your dashboard.
Automatically
- Log and usage data, device/browser information, and cookies used to operate the dashboard and keep you signed in.
2. How we use information
- To answer calls, capture job details, check availability, and book appointments;
- To send appointment confirmations and service notifications by SMS and email;
- To provide, maintain, secure, and improve the Service;
- To process billing and provide customer support;
- To comply with legal obligations and enforce our terms.
3. Call recording & transcription
Calls answered by Reply may be recorded and transcribed so the Customer can review them and so we can provide and improve the Service. Where required by law, callers are notified that the call may be recorded. If you do not consent to recording, please do not continue the call.
4. SMS / text messaging program
Reply sends transactional text messages — such as appointment confirmations, reminders, and service updates — on behalf of the Customer (the business) you contacted. By providing your mobile number to a business that uses Reply, or by calling a number answered by Reply, you consent to receive these messages at that number.
- Message frequency varies based on your interactions.
- Message and data rates may apply.
- Reply HELP for help, or STOP to opt out at any time. After you text STOP, you will receive one confirmation and then no further messages.
- Your mobile opt-in and consent are never shared with third parties or affiliates for their own marketing purposes.
Carriers are not liable for delayed or undelivered messages.
5. How we share information
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
We do not sell your personal information. We share it only as follows:
- With the business you contacted — Callers’ details and bookings are shared with the Customer whose line you called.
- Service providers (subprocessors) who help us run the Service, under contract and only as needed — including telephony and voice infrastructure (e.g., Twilio, Vapi), AI language and speech processing (e.g., Anthropic, ElevenLabs), hosting (Railway), payments (Stripe), authentication (Clerk), and email delivery (Resend).
- Legal & safety — when required by law or to protect rights, safety, and the integrity of the Service.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this Policy.
6. Data retention
We retain information for as long as needed to provide the Service and for legitimate business or legal purposes, after which we delete or de-identify it. Customers may request deletion of their data as described below.
7. Security
We use reasonable administrative, technical, and physical safeguards to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your choices & rights
Depending on where you live, you may have the right to access, correct, or delete your personal information, or to opt out of certain processing. To make a request, or to opt out of text messages, reply STOP to any message or contact us at wickscoutio@gmail.com.
9. Children
The Service is not directed to children under 13, and we do not knowingly collect their personal information.
10. Changes to this Policy
We may update this Policy from time to time. We will post the updated version here and revise the “Last updated” date above.
